Policies + Procedures
At Oak Grove Studio, we strive to provide a smooth, professional experience for every client. These policies help set clear expectations while ensuring fairness for both clients and the company.
Booking + Payments
- Mini sessions must be paid in full at the time of booking.
- All other sessions require a 25% deposit to secure your date. The remaining balance is due no later than 72 hours before your session.
- Weddings and elopements require a signed and dated contract. Your session is not reserved unless a contract an 25% retainer fee have been sent.
- Payments must be made in full before any images are delivered, including sneak peek previews and proofing galleries. No exceptions.
Cancellations + Rescheduling
- Deposits are transferable but non-refundable. If you need to reschedule, your deposit will be applied to a future session.
- If you cancel at least three weeks in advance, you are eligible for a refund.
- If you cancel at least two weeks in advance, you are eligible for a partial refund.
- Cancellations within one week of the session are non-refundable. However, you may receive partial credit toward a future session at my discretion.
Weather + Emergency Rescheduling
- If weather conditions make the session impossible or an unavoidable emergency occurs (e.g., sudden illness, accidents), clients may reschedule at no extra cost within 30 days of the original session date.
- In the case where rain and overcast conditions are present, sessions will continue unless both parties agree to reschedule.
- In the rare event I need to reschedule due to unforeseen circumstances, you will have the option to reschedule at no cost or receive a full refund.
Travel Fees
- I am primarily based in Alachua County in Florida and service neighboring counties such as Baker, Bradford, Columbia, and Marion without any extra fees.
- A $35 travel fee automatically applies for every 65 miles traveled outside of Alachua County unless otherwise stated.
Extra Guests + Liability
- Only scheduled clients are permitted to attend the session.
- If you bring additional guests, Oak Grove Studio is not responsible for their safety or any injuries that may occur. Insurance coverage only applies to the scheduled clients.
Late + No-Show Policy
- If you are more than 15 minutes late, your session time may be shortened accordingly.
- Clients who fail to show up without notice will forfeit their payment and will not be eligible for rescheduling without paying a new deposit. In case of an emergency, please contact me immediately, and we can discuss options for rescheduling.
Gallery Delivery + Turnaround Time
- Standard photoshoots (under two hours) can expect their images within 10-15 days after final selections are made.
- Mini session galleries are delivered within 7-10 days.
- Turnaround times may vary based on workload, and clients will be notified of any delays.
Editing Style + Consistency
- My editing style is unique to Oak Grove Studio and is consistent with what is shown in my portfolio. All images will be edited in the following style: warm, airy, and glowy.
- To maintain consistency and quality across all my work, I do not offer custom editing outside of my signature style. Any requests for edits that differ from the style shown in my portfolio will not be accommodated.
Agreement + Contract
- All clients must return a signed contract confirming they agree to these policies and procedures before their session date.

What should I wear?
It is advised that you wear loose and comfortable clothing to your photoshoot and wear garments that align with the location and weather. If you’re uncomfortable in an outfit it can show on camera. Pinterest is your best friend when it comes to finding what matches your aesthetic and the overall look you're going for. There are moodboards and color wheels that can help you determine outfits for the whole family. If you want additional tips, tricks and suggestions for flattery, comfortability, and more, contact the photographer directly.
Do you offer newborn and maternity sessions?
Yes, yes, and yes! If you’re interested in a specific session or want a package that is not listed, please contact the photographer for more details. Currently, the only sessions that are not being offered as of right now are weddings and elopements.
How do I book mini sessions?
These sessions are advertised on Facebook, Instagram, and TikTok! Mini sessions are seasonal and are typically scheduled around holidays or other special occasions. To schedule a mini session, you will have to click on a link available for a limited time that goes directly to the booking site. If you have not already done so, follow Oak Grove Studio on all three apps so you can stay up to date on sales, specials, and more!
do you offer sessions shorter than an hour?
Yes! However, there is not a package for these types of photoshoots. Because this is just a general portrait session, they are $100 for 30-minutes and must be within 15 miles of Gainesville, Florida or Melbourne, Florida. No exceptions.
